Key Features for Faculty & Staff
Viewing Student Information
Student Transcript
The courses view shows student progress by semester and includes grades, term GPA, and credits earned.
Student Profile
The student profile can be found in the students tab. It displays student's basic information, academic programs, GPA, current course schedule, and degree audit.
Student Progress
Student progress can be viewed using the progress bar which shows a snapshot of the number of taken, registered, and remaining courses, or the full degree audit which lists each declared academic program and its detailed requirements.
Adding Notes
The notes function allows you to add advising notes, give kudos, add referrals, and share concerns with other admin users. Notes are also automatically generated by making changes to a student's audit.
Referrals are a specific kind of note-- read more here about how to use this tool, with UVA-specific information.
Reports
You can save a list of students (such as your advisees) so that you can quickly find them again as a group. There are also options for automated reports. There are additional report filters that can help you find students who meet those criteria.
Communicating With Students
Messaging in Stellic
Direct and bulk messaging allow advisors to seamlessly communicate with their advisees through Stellic.
Appointment Scheduling
Connect your UVA Outlook calendar to seamlessly schedule appointments with your advisees. (In the Appointments view, use the button in the upper right corner to do this.) Set up timeblocks for specific student groups and customize meeting logistics to fit your schedule.
Make Notes on Students' Plans
Students and advisors can make notes on courses or activities within a student's plan. This is a helpful way of adding additional detail to anything within the student's plan that may need additional details, clarification, or notes or reminders for later.
Managing Student Degree Progress and Planning
Search for Classes
There are a few options. First, you can click on the tab called Courses in the left sidebar to search the entire course catalog. Keep in mind that this catalog is very broad.Use the filters to search by semester or by other criteria. Learn more about this here.
Second, you can find classes that fit a particular students' context. If you click on a student's name, and then the Plans tab, you will see multiple semesters. You can click the "Add to" button at the bottom of a semester to add classes or activities (e.g. study abroad). You can also click the calendar icon at the top of each semester to get a more detailed view and course search options.
Remember that this is a shared workspace with the student. If you make changes, the student will see them. It can be a great way to work with advisees to plan for coming semesters.
Exporting Students' Audits
Download students' audits for easy review and printing. You can download multiple or individual audits.
Satisfying Milestones
Milestones are non-course requirements within a student's audit. They are tracked separately from other requirements with their own progress bar at the top of a student's profile. In the degree audit, milestones are indicated by a flag icon. If you happen to be in a role where you should be able to indicate that a student has satisfied a milestone, a button will appear that will allow you to record this information.
